Check-in and Check-out

Checking guests in and out happens from wherever you happen to be — the Dashboard, the Bookings list, dialogs on the Calendar, or the Pitch Map. The rules are the same everywhere:

  • You can check a guest in from any surface; if they have no pitch yet, BookingFlow redirects you to the pitch map to assign one — and checks them in the moment you do.
  • Check Out is offered once a guest is checked in.
  • Any checkout before the scheduled departure date is an Early Checkout — BookingFlow handles the money and inventory properly.

Checking in

  1. Find the guest — the Dashboard's Action Required card (button Check In), the Bookings row ⋮ menu, or the Today's Arrivals dialog.
  2. If the booking has a pitch, that's it — the status flips to Checked in (blue chip) and the Dashboard celebrates.
  3. If not, the Pitch Map opens in check-in mode: the arriving guest's card is highlighted with a Check In chip. Drag them onto a pitch (or click an empty pitch and choose them) — they're checked in and assigned in one move.
tip

Arrivals without a pitch also appear in the pitch map's Unassigned list for the arrival date — assign them before or on the day.

Undoing a check-in

Booked the wrong guest in? Undo Check-in (same menus) puts the booking back to its prior state.

Checking out

When a guest leaves on their scheduled day, press Check Out:

  • The departure is recorded
  • Their pitch is freed on the Pitch Map

Early checkout

If a guest leaves before the scheduled departure date, the action is labelled Early Checkout. Choose it and BookingFlow asks for the new departure date (bounded to sensible values — not before today, not beyond the scheduled departure).

Before you confirm, the dialog tells you exactly what will happen:

"This will free {N} nights and update the accommodation cost. The pitch will be unassigned."

Press Confirm Checkout and BookingFlow:

  1. Shortens the stay to the new departure date
  2. Recalculates the accommodation cost
  3. Returns the freed nights to your available allocation
  4. Unassigns the pitch

Cancelling bookings

The reliable way to cancel is from the Bookings page:

  1. Tick the booking (or several) you want to cancel.
  2. Press Delete Selected.
  3. Confirm in the dialog.

Cancelled bookings:

  • show as Cancelled (red, struck through) — switch Show Cancelled Bookings on to still see them
  • free the allocation for every night they held, so those nights become sellable again
  • keep their record for reporting (cancellations appear in Reports)

You can also cancel from the Calendar — right-click a booking and choose Cancel Booking.

Cancelling frees the nights

Because cancellation restores inventory, a cancelled booking never blocks a future guest. The Occupancy chart and portal availability update immediately.
