Creating and Editing Bookings

Most bookings arrive on their own — from your booking portal, Pitchup, Airbnb or the voice assistant. When you need to add one yourself (a phone call, a walk-in, a regular guest), the New Booking drawer does it in under a minute.

Opening the drawer

  • Calendar — drag across days (Month/Week view) or click a day (Day/3 Day view).
  • Bookings — the ⋮ menu on a booking, then Edit.
  • Top bar — the Add button.

The drawer is titled New Booking or Edit Booking.

Filling in a booking

The drawer has four sections:

  1. Guest Details — First Name (required), Last Name, Email Address and Contact Number.
  2. Stay Details — the Check In and Check Out dates (you can also set these by where you dragged on the calendar) and the Accommodation Type.
  3. Party Size — Adults, Children, Infants and Pets.
  4. Pricing — press Calculate Price.
Calculate Price is the safety check

Calculate Price checks availability for those nights and prices the stay — the accommodation's nightly price plus any extra guests beyond the included people. The drawer tells you whether the stay is available and fills in the Calculated Price. You can override the price if you need to.

Then press Confirm (new booking) or Save Changes (edit).

What happens next:

  • A new booking is created Confirmed with source Manual, and the allocation for each night of the stay is decremented — if you take the last unit for a night, that night/type stops being sellable.
  • The booking appears immediately on the Calendar in its accommodation-group colour.
  • An edit updates the guest, stay, party and price.

Editing a booking

Open the booking (click its bar on the Calendar, or ⋮ → Edit on the Bookings page). Change whatever you need — dates, accommodation type, party, guest details — press Calculate Price again (it re-enables whenever anything changes), then Save Changes.

Moving dates and allocation

Changing dates on an existing booking does not automatically return the old nights' allocation. If you move a booking to different dates, cancel and re-create it instead (or ask support to true up the allocation) so your availability stays accurate.

Cancelling bookings

See Check-in and check-out — Cancelling bookings for the recommended route from the Bookings page and what cancellation frees up.

Good to know

  • Check-out is always the morning after the last night — a guest staying Friday and Saturday nights departs Sunday.
  • Party size feeds pricing — guests beyond the included-people count are charged using your adult/child/infant nightly prices, so keep the party accurate.
  • Bookings without email won't receive a confirmation email — that's fine for walk-ins.
  • The Reports page can later tell you which accommodation types and sources bring in the most revenue — manual bookings included.
