Licence Settings

Licence Settings (Account → Licence Settings) holds everything the Owners register needs to generate owner agreements from your own PDF template. Subtitle: Configure the template and park details used when generating licence agreements. Configure it once; every Generate after that is automatic.

PDF Template​

The licence engine fills a PDF you already use:

  1. Upload your template to your Drive document library on the Documents page.
  2. Copy the file ID from the URL of the file and paste it into the Template File ID here.
  3. Set the Start Page and End Page the engine should fill.
  4. Press View Template Form Fields to see the fillable fields the engine found — name (type) for each.
tip

If the field list looks empty or wrong, your PDF needs proper fillable form fields (AcroForm). Ask whoever produced the template to add them.

Park Details​

Everything the agreements say about you:

  • Park Name and Park Address
  • Seller Name — the name that appears as seller on the agreement
  • Contact Name, Telephone, Email
  • Complaints Contact — name, phone and email for the complaints clause
  • Transfer Fee Rate (%), Pitch Fee (annual) and Rates Due (current year)

Bank Details​

Account Name, Sort Code and Account Number — where owners pay.

Season Dates​

Day/month pairs for the dates the agreements reference: Season Start, Season End, Pitch Fee Due, Pitch Fee Review, Rates Due, Next Fee Review and Agreement Date. Plus the Max Sleeping Capacity default for your caravans.

Press Save Configuration — "Configuration saved successfully!" — and you're ready to generate agreements from the Owners register.

How generation uses this​

When you press Generate or Generate All on the Owners page:

  • The engine reads this configuration (per-pitch pitch fee and transfer rate can be overridden at generation time)
  • It fills your template's form fields — park details, owner details, fees, dates, the specific pitch and caravan
  • The finished PDF is saved to your Drive folder as {Agreement type} - Pitch {n} - {owners} - {year}.pdf

Nothing is emailed or sent automatically: agreements land in Drive for you to review and issue.
