Your Booking Portal
Your booking portal is your own online booking site — {site}.portal.bookingflow.app
— where guests check availability, get an instant quote and pay by card. It
sells exactly what your allocation allows,
takes payment through Stripe, and creates confirmed bookings in BookingFlow
with no rekeying. This page covers setting it up and what guests see.
Setting it up (Account → Website)
The setup is a five-step stepper. You can leave and come back any time.
1. Upload Banner
A wide hero image for the top of your portal — a shot of the park works best. Recommended size 1920 × 600 pixels.
2. Accommodation Photos
For each accommodation type, upload up to three photos (Image 1 is 1000 × 500; Images 2 and 3 are 500 × 500). These are what guests browse when choosing.
3. Accommodation Details
For each type, set the Max Width (m) and Max Length (m) (the area is calculated for you) and tick what's included: Water Included, Electric Included, Chemical Disposal, Car Parking, Awnings Allowed, Dogs Allowed. These details appear on the portal's Details tab.
4. Embed the Widget
Copy the snippet into your own website:
<button href="https://portal.bookingflow.app/{your-site-id}">Book</button>
Style the button however you like — it just links guests to your portal. "Bookings made through the portal will automatically sync back to BookingFlow."
5. Preview
View Booking Portal opens your live portal so you can check the result.
The Website integration (and therefore portal setup) is not part of the minimal plan — see Plans.
What guests experience
1. Search — "Book Online"
Guests pick an Accommodation Type, their Check In and Check Out dates, party size (Adults over 12, Children 2–12, Infants under 2, up to 1 Pet) and press CHECK AVAILABILITY. A date-flexibility control (EXACT / ±1 / ±2 / ±3 days) helps them find space when exact dates are tight.
Your park info — opening dates, check-in/check-out times, minimum stays on bank holidays, house rules — shows alongside, straight from the portal.
2. Quote — results
Available units appear as cards with two tabs:
- Cost Breakdown — Pitch Price, additional adults / children / infants, pets, and the Total Stay for the nights
- Details — water, electric, chemical disposal and parking (from your Accommodation Details)
Unhelpful dates get honest messages — "The date selection is outside of our opening season", "You cannot book for less than {n} nights for this period" — so guests self-correct instead of phoning.
Pressing Book holds the unit for the guest for 20 minutes (with an option to extend), so nobody loses the pitch at the payment screen.
3. Pay — secure checkout
Card payment through Stripe, with a first name, last name and phone number. Guests tick I agree to the Terms and Conditions — cancellations, quiet hours, site rules — before Pay.
4. Thanks — confirmed
"You're booking was successful — a confirmation email is on its way."
What happens inside BookingFlow
- The booking starts as a Hold (the 20-minute session) and flips to Confirmed the moment payment succeeds.
- The guest is emailed a "Reservation confirmed" email with the dates, party and total; your account users are notified too.
- A notification appears in the app.
- Allocation decrements immediately when the hold starts, so two guests can never book the same unit.
Everything the portal sells comes from your allocation: paused or unallocated nights don't appear, capacity can never be oversold, and your prices are the portal's prices.
