Electricity Meter Readings

If you bill static owners for electricity, this page — Meter Readings in the sidebar — tracks each pitch's readings, calculates usage, and turns it into Xero invoices at your price per kWh.

Prerequisite

Meter readings work off your static pitches. If you haven't any, the page will tell you to add static accommodation types in App Setup and individual pitches in Pitch Management first.

Recording a reading

Enter readings one pitch at a time as you walk the park:

  1. Pick the Pitch ("{Type} - {Number}").
  2. Enter the Meter Reading (kWh) — decimals supported.
  3. Set the Date.
  4. Optionally add Notes (for example "meter swapped").
  5. Press Add Reading.

The reading appears in the history immediately, and BookingFlow automatically computes the Usage Since Last reading for that pitch.

Reading history

The full history shows every pitch's readings — date, value, usage since the previous reading, and notes — with a Filter by Pitch dropdown to focus on one pitch. This is your audit trail when an owner queries a bill.

Generating invoices

Once a pitch has at least two readings, it can be invoiced:

  1. Enter your Price per kWh (£) at the top — it's remembered for next time.
  2. Each pitch with enough readings shows a card: the pitch, its latest reading, and a Generate Invoice button.
  3. Press it — with Xero connected, a draft electricity invoice is created for the usage since the last billed reading: "Invoice generated successfully! Invoice #{number} - £{total} for {usage} kWh".

Pitches with fewer than two readings politely say so — "Need at least 2 readings to generate invoice" — until they're ready.

Invoices are drafts

Generated invoices go into Xero as drafts — nothing is sent to anyone until you review and approve it in Xero. The same happens when the Operations API generates them.

A billing cycle in practice

  1. Season start — walk the park and record opening readings.
  2. Season end — record closing readings.
  3. Invoice — set the price per kWh and generate per pitch; usage is always latest reading minus the previous one, so nobody is billed twice.
  4. Query? — open the Reading History for that pitch and read the numbers out.

Where else readings appear

  • Owners and licence agreements sit on the same static pitches — the register and the meters refer to the same park.
  • Developers and AI agents can record readings and generate invoices through the Operations API.
