Allocation & Pricing
Every night of every accommodation type has three things: a price, a capacity (how many units you're willing to sell) and stay rules. This page — Allocation in the sidebar — is where you set them. Until a night has allocation, it cannot be booked: not in the portal, not by Pitchup, not anywhere.
The allocation table
Each row is one night for one accommodation type, with its:
| Column | Meaning |
|---|---|
| Date | The night in question |
| Status | Available (green), Paused (grey — unbookable), Full (red — capacity sold) |
| Vacancies | Units still sellable for that night |
| Max Alloc. | The capacity you set |
| Acc. Price | The nightly price for the accommodation itself |
| Adult / Child / Infant / Pet | Prices for guests and pets beyond the included people |
| Min Nights / Max Nights | Stay-length rules for that night |
Use the Accommodation Type dropdown to switch between types, the From / To dates to focus a date range, and the quick chips (This Month, Next Month, Next 3 Months) to jump around.
Setting prices for a date range
- Press Add Allocation.
- Pick the Start Date and End Date — every day in the range gets the same settings.
- Set the Pricing: Accommodation Price, and the Adult, Child, Infant and Pet prices for additional guests.
- Set the Capacity & Stay Rules: Max Allocation (how many units to sell per night), Min Nights and Max Nights.
- Create — the rows appear in the table straight away.
Editing and pausing
- Edit (pencil on a row) — opens the drawer for that night. On a paused night it reopens the full editor; on an available night the pencil acts as a quick Pause.
- Pause Availability — a switch in the drawer that marks the night unavailable. Paused nights show grey and can't be booked; unpause to sell them again. Use this for private use, rallies, or anything you don't want sold online.
If a Deluxe Tent includes 2 people and you charge £5 per extra adult, a party of 4 pays the accommodation price plus 2 × £5 per night. Keep included people in sync with your pricing so nobody is double-charged.
The Batch Wizard
The Batch Wizard is the fastest way to lay out a whole season — or rework one — with different prices per period (peak summer, shoulder weeks, off-peak). It has three steps:
1. Select Accommodation
Choose the accommodation type you're pricing.
2. Define Pricing Periods
The wizard groups your existing allocation into pricing periods — runs of nights with identical settings — and shows them as period cards. For each period, set the Start Date and End Date, optionally Pause Availability, and tick the fields you want to change: Max Allocation, Pitch Price, Adult/Child/Infant/Pet prices, Min/Max Nights.
- Press Add Period for another block (for example a bank-holiday week).
- The master checkbox controls whether all fields are updated or only the ones you ticked — unticked fields keep their current values.
- Each card tells you how many days it covers.
3. Review & Confirm
A summary shows the accommodation, total days, the periods and every field change ("£24.00 → £29.00"), with "(keeping)" notes for fields you left alone. Press Apply Updates and the wizard writes every day, showing progress as it goes.
The wizard updates real days — it doesn't create separate "periods" — so a period covering 1 May – 30 September sets those 153 nights individually.
Keeping Pitchup in sync
If you sell on Pitchup, the Sync Pitchup button pulls the latest Pitchup bookings and availability into your allocations and reports what changed — added, updated or unchanged. With the integration connected, allocation changes you make here also push out to Pitchup automatically.
Where allocation shows up
- The Dashboard's occupancy chart — red days mean "no allocation set"
- Portal availability — what guests can book
- Your Reports — occupancy and average pricing
